# Viewing certificates

> See every certificate file in one place, read one without downloading it, step through a subcontractor's certificates, and get notified when one arrives.

WatchMyCover keeps the certificate files themselves, not only what they said. You can read any of them in the app.

## On a subcontractor's page

The **Certificates** panel on the right shows the first page of the newest certificate on file for that subcontractor.

* Use the arrows under it to step through the others. The counter shows where you are, for example **2 of 4**.
* Click the page to open it in full. Every page of the file is shown, and the left and right arrow keys move between certificates.
* **Add a file** stores a new one (PDF, PNG or JPEG, up to 10 MB).
* Under the page you see the file name, whether you added it or the subcontractor sent it, the date, and its state: **Not read yet**, **Read** or **Recorded**.

In the full view, a certificate that is **Not read yet** has two actions:

| Action | What it does |
| - | - |
| **Record it** | Opens the [record certificate](/docs/certificates/recording) form with the file read into it. Check the values and save. This is how a certificate is accepted: once saved, it is checked against your requirements and the verdict updates. |
| **Mark read** | For a file that is not a certificate to record, or is not what you asked for. Nothing in the register changes, and chasing for that subcontractor carries on. |

**Download** saves the file. A file name under **Documents on file** opens the same full view.

There is no separate reject button. If a certificate falls short, record it: the gaps appear as findings and, with chasing on, the subcontractor is emailed exactly what is missing.

## The Certificates page

**Certificates** in the menu lists every certificate file across all your subcontractors, newest first.

* Search by subcontractor or file name.
* **Not read yet** shows only the files waiting for someone to look at them, with a count.
* Choose a row to see it in the **Preview** panel beside the list. Click the page to read it in full. On a phone, choosing a row opens it in full straight away.
* **Review and record** in the full view opens that subcontractor's page on the same file, where you can record it.

Archived files are not listed here; they stay on the subcontractor's page.

## Notifications

The bell at the top of the app shows a count when a subcontractor has sent a certificate through an upload link.

* Open it to see **Certificate received from** each subcontractor, with the file name and when it arrived.
* Choose one to go to that subcontractor's page with the certificate open.
* The tick beside a notification marks it read. **Mark all as read** clears the count.

A notification read by one person is read for the whole team. Marking a notification read does not mark the certificate itself read: chasing for that subcontractor stays paused until the certificate is recorded or marked read, or for two weeks if nobody looks at it.

## What is recorded

Viewing a certificate is noted in the [activity log](/docs/account/activity-log) once a day for each person, and every download is noted, so you can see who looked at another company's insurance document and when.
