# FAQ

> Short answers to the questions customers ask most, with links to the full explanation.

  <Accordion title="Does WatchMyCover read the certificate PDF for me?">
    No. There is no scanning, text extraction or automatic data entry. Someone on your team reads the certificate and types what it says; the rules then run the same way every time. See [Recording a certificate](/docs/certificates/recording).

  <Accordion title="The certificate is in date. Why is the subcontractor Non-compliant?">
    Because being in date is not the same as meeting your contract. Open the vendor: **Why this vendor is not cleared** lists each finding with what was required and what the certificate provided. Common causes are a short aggregate, a missing umbrella, or an endorsement not evidenced. See [Every finding explained](/docs/certificates/findings).

  <Accordion title="Why is everyone Needs review after my import?">
    Your template requires endorsements, and a spreadsheet can only record them as stated on the certificate. A certificate cannot amend a policy, so a stated endorsement needs the endorsement form to be confirmed. See [Endorsements and evidence levels](/docs/requirements/endorsements).

  <Accordion title="How do I get a subcontractor from Needs review to Compliant?">
    Get the endorsement form named in the finding (or a current certificate, if it is over a year old), upload it under **Documents on file**, and record the coverage again with **Endorsement form on file**.

  <Accordion title="The policy expires today. Why is it already Non-compliant?">
    Policies run from 12:01 a.m. to 12:01 a.m., so there is no cover on the expiry date itself. WatchMyCover treats a policy as expired on that day, judged by your organization's time zone.

  <Accordion title="Will WatchMyCover email my subcontractors as soon as I sign up?">
    No. Chasing is off until an owner or admin switches it on in **Settings → Renewal chasing**. Until then, reminders are generated and listed under **Reminders** so you can see what would be sent. See [How chasing works](/docs/chasing/how-chasing-works).

  <Accordion title="Where do subcontractors' replies go?">
    To the **Replies go to** address in **Settings → Renewal chasing**, or the account owner's address if none is set. Not to WatchMyCover.

  <Accordion title="Do subcontractors need an account?">
    No. Every email carries a private upload link that needs no account or password, and they can also reply with the PDF attached. See [What subcontractors see](/docs/chasing/what-subcontractors-see).

  <Accordion title="A subcontractor sent a certificate through the link. Why hasn't their status changed?">
    WatchMyCover does not change the register on its own. The file waits under **Documents on file**, marked **Not read yet**, and chasing for that vendor is paused. Choose **Record it** to record what it says.

  <Accordion title="I recorded next year's certificate early. Will the old one cause problems?">
    No. Each coverage is judged on the policy in force today, and a renewal that starts on or before the old policy ends carries the cover forward. Queued chases for the old expiry are withdrawn. See [Renewals and several certificates](/docs/certificates/renewals).

  <Accordion title="General liability and workers' comp are on separate certificates. Do I record both?">
    Yes. Record each certificate; both stay in force, and each coverage is judged on its own policy.

  <Accordion title="Can I delete a subcontractor?">
    No, you archive them. Their history is kept, they leave the register, and chasing stops. See [Archiving and restoring](/docs/subcontractors/archiving).

  <Accordion title="How many subcontractors can I import at once?">
    Up to 500 rows per CSV file. Split a longer list. Re-importing a corrected file updates vendors by name and does not duplicate certificates already on file. See [Importing from CSV](/docs/subcontractors/import-csv).

  <Accordion title="My spreadsheet dates are day first. Will they import?">
    Not reliably. Dates are read month first, so reformat the column as `YYYY-MM-DD` before exporting to CSV.

  <Accordion title="How do I prove compliance to an owner or lender?">
    Send a [shareable report](/docs/register/shared-reports) (read-only, expires in 7, 30 or 90 days, revocable), or the [CSV export](/docs/register/export).

  <Accordion title="Can I set different requirements per project?">
    Not per project. Requirements come from the template assigned to each subcontractor. Make a template per contract type and assign accordingly.

  <Accordion title="What happens when my trial ends?">
    Nothing is charged or deleted. The workspace becomes read-only, the export still works, and chase emails stop until a plan is active. See [Plans and billing](/docs/account/plans-and-billing).

  <Accordion title="How do I pay?">
    During early access, paid plans are invoiced directly. Write to [info@watchmycover.com](mailto:info@watchmycover.com).

  <Accordion title="Is WatchMyCover SOC 2 certified?">
    No, and it is not ISO 27001 certified either. See [Security and privacy](/docs/security-privacy) for what is and is not in place.

  <Accordion title="Is a verdict legal or insurance advice?">
    No. WatchMyCover compares the data you recorded against the requirements you defined. It cannot confirm a policy is still in force, that an endorsement exists, what a policy excludes, or that a certificate is authentic.

  <Accordion title="I think a verdict is wrong.">
    Write to [info@watchmycover.com](mailto:info@watchmycover.com) with the vendor's name. Check first that the figures and dates were recorded as the certificate shows them.
