This takes most people under an hour, most of it spent on the spreadsheet of subcontractors you already keep.
1

Create your workspace

Go to watchmycover.com/signup and enter Your name, Company, Work email and a Password of at least 10 characters, then choose Create workspace.Every new workspace starts a 14-day trial. No card is taken. If you picked a plan on the pricing page, the trial is on that plan; otherwise it is on Core. See Plans and billing.
2

Confirm your email address

Nothing in the app opens until your address is confirmed. You will see Confirm your email address and an email with a link, valid for 24 hours. Open the link, or come back to the tab and choose I have confirmed it.No email? Check spam, then choose Send a new link. Signed up with the wrong address? Choose Wrong address? Sign out. More in Email confirmation.
3

Tell us about your company

Onboarding step 1, Your company: company name, address and Time zone. The time zone matters: it decides which calendar day a policy expires on and when reminders go out. Choose Continue.
4

Set your requirements

Step 2, Your requirements, shows two starting templates, Trade Subcontractor and General Vendor / Supplier, with limits typical of a US construction subcontract. Choose Set the values on each and change them to what your own subcontracts require. Every verdict is measured against these. You can choose Skip for now and change them later under Requirements. See Requirement templates for the starting values.
5

Add your subcontractors

Step 3, Your subcontractors:
  1. Download the CSV template, which has every column the importer recognizes and three example rows to replace.
  2. Import your spreadsheet, saved as CSV from Excel or Google Sheets, up to 500 rows a file.
  3. Or add one by hand: name, email and which requirements apply.
Nothing is emailed to a subcontractor at this stage. You can also choose Skip — I will add them later. Details in Importing from CSV and Adding a subcontractor.Choose Finish (or Go to my register) to open the dashboard.
6

Record a certificate

Open a subcontractor under Vendors and choose Record certificate. The form lists the coverages their template requires. Type what the certificate says: insurer, issue date, and for each coverage the limits, effective and expiry dates, and the endorsement evidence. Choose Record and re-check.The verdict and its findings appear on the subcontractor’s page straight away. See Recording a certificate, which includes where each field sits on an ACORD 25.
7

Switch chasing on

Go to Settings → Renewal chasing. Check Replies go to: chase emails ask the subcontractor to reply with their certificate attached, and this is where the reply lands. It starts as the account owner’s email address. Then choose Turn on. From then on, WatchMyCover emails subcontractors 30, 14, 7 and 1 days before a required policy expires and once it is overdue, and straight away when a certificate falls short. See How chasing works.
Before turning chasing on, open Reminders. Reminders are generated while chasing is off, so you can read every email that would go out, and cancel any you do not want sent.
