Adding a subcontractor - WatchMyCover

In the app, subcontractors, suppliers and anyone else whose insurance you track are called vendors. To add one, go to Vendors and choose Add vendor (or press Ctrl+K / Cmd+K and choose Add a vendor). To add many at once, import a spreadsheet.

The fields

Field	Notes
Vendor name	Required. Also how an import matches rows to existing vendors, so keep it the same as in your spreadsheet.
Trade	Optional, such as Electrical. Shown in the register and on shared reports.
Contact name	Optional. Chase emails greet this person by name; without it they open with “Hello,”.
Contact phone	Optional. Not used for chasing.
Contact email	Required. Renewal chases are addressed here.
Insurance agent	Optional. The broker’s or agency’s name.
Agent email	Copied on every chase. Worth filling in: the broker is usually the person who can issue a corrected certificate or an endorsement.
Projects this vendor works on	Tick the projects this vendor is on.
Insurance requirements	The requirement template the vendor is checked against. Without a template WatchMyCover cannot decide whether this vendor complies.

Choose Add vendor and WatchMyCover checks the vendor against the template straight away. With no certificate yet, the status is No certificate.

A vendor imported without an email address cannot be chased. Their page says No email on file — chases cannot be sent. Add one. A vendor with no agent email says No insurance agent on file — chases reach the vendor only.

Editing a vendor

Open the vendor and choose Edit, then Save changes. Saving re-checks the vendor immediately. A changed contact email or agent takes effect on the next chase, including chases already queued.

Plan limits

Starter includes 25 active vendors, Core 100, and Pro is unlimited. Archived vendors do not count. When you reach the limit, existing vendors keep working, and you are asked to move up a plan before adding another. See Plans and billing.
